This Privacy Policy describes how Search2o, Inc. ("Search2o," "we," "us," or "our") collects, uses, discloses, and retains personal information in connection with our website, software, cloud services, and related services (collectively, the "Service").
The Service is intended for business and professional use by individuals who are at least 18 years old.
This Privacy Policy describes our privacy practices and does not create contractual rights beyond those provided by applicable law or an express written agreement with Search2o.
1. Information We Collect
Depending on how the Service is used, we may collect or process:
- Account information, including name, email address, account name, role, permissions, authentication information, and account settings.
- Usage and technical information, including IP addresses, requested URLs, timestamps, login and access activity, agents executed, execution results, errors, performance information, resource usage, other operational information, and, for website interactions, browser or device information.
- Customer Content, meaning queries, conversations, conversation state, long-term memories, agent definitions and descriptions, drafts, configurations, profiles, and other information submitted to or generated through the Service.
- License and authorization information, including license keys, an instance identifier derived from the host name, and software version, transmitted by the agent server to Search2o to verify authorization.
- Communications, including information provided when contacting Search2o for support or otherwise communicating with us.
Except for website browsing and registration, ordinary use of the Service occurs through an agent server operated by the customer.
If you voluntarily post information to a public issue tracker, discussion forum, or other public service, that information is public.
2. How We Use Information
We may use information as reasonably necessary to:
- provide, operate, maintain, and administer the Service;
- create and manage accounts and authenticate users;
- perform searches and provide requested functionality;
- maintain conversations, agents, and other Service data;
- provide reports and manage usage;
- allocate and manage computing resources;
- provide support and Service-related communications;
- monitor, secure, troubleshoot, and maintain the reliability and performance of the Service;
- detect, investigate, and prevent fraud, abuse, unauthorized access, and security incidents;
- enforce licenses, usage limits, agreements, and policies;
- comply with legal, regulatory, tax, accounting, and other obligations;
- establish, exercise, or defend legal rights; and
- evaluate or complete a merger, financing, acquisition, reorganization, sale of assets, or similar transaction.
Customer Content is processed as necessary to provide, operate, secure, support, and administer the Service, comply with law, enforce applicable agreements, and protect Search2o, its customers, and others.
Search2o does not sell personal information, provide personal information to data brokers, or use personal information for cross-context behavioral advertising.
3. Customer Responsibility
Customers are responsible for Customer Content and for obtaining all rights, permissions, notices, and consents required to collect, submit, use, disclose, and process Customer Content through the Service.
Search2o does not determine what personal information a customer's agents request from or receive from users.
Customers are responsible for determining whether the Service is appropriate for the information they choose to process and for complying with laws applicable to their Customer Content and use of the Service.
If you use Search2o through an employer or other organization, that organization may administer your account and may have access to information concerning your account and use of the Service, including your name, email address, role, account activity, agents executed, usage information, and reports.
Privacy requests relating to information controlled by your organization should generally be directed to that organization.
4. Artificial Intelligence and External Services
Certain Search2o features use third-party artificial intelligence service providers. Information may be transmitted to those providers as necessary to perform functions such as agent indexing, documentation assistance, and agent-development assistance.
Do not submit sensitive personal information through documentation questions, agent-writing assistance, or similar AI-assistance features.
Customers may configure agents running on their agent servers to communicate with third-party LLM providers, APIs, databases, applications, MCP servers, and other external systems.
Those communications originate from the customer's agent server rather than Search2o Cloud. Customers are responsible for selecting, configuring, and using those services and for determining whether their use complies with applicable requirements.
5. Service Providers and Other Disclosures
We may disclose information to vendors, contractors, and other service providers that assist us with functions such as:
- cloud hosting and infrastructure;
- storage, databases, networking, and content delivery;
- email delivery;
- artificial intelligence services;
- security and abuse prevention;
- software development, support, and collaboration; and
- other functions necessary to operate the Service.
Depending on the service provided, information disclosed to these providers may include account information, usage and technical information, Customer Content, and communications.
We may also preserve, access, or disclose information when we reasonably believe it is necessary to:
- comply with applicable law, legal process, or lawful governmental requests;
- investigate or prevent fraud, abuse, unauthorized access, or security incidents;
- enforce agreements, licenses, or policies;
- protect the rights, property, security, or safety of Search2o or others; or
- establish, exercise, or defend legal claims.
Information may also be disclosed or transferred in connection with an actual or proposed merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar transaction.
We may disclose information when directed or configured to do so by a customer, account owner, administrator, or user.
6. Website and Tracking
We use Google Analytics to understand how visitors use our website and to improve the website. Google Analytics may collect information such as pages viewed, interactions with the website, approximate location, browser and device information, and IP address. Google processes this information in accordance with its privacy policy.
Google Analytics may use cookies or similar technologies. You can limit cookies through your browser settings or use the Google Analytics Opt-out Browser Add-on.
Search2o does not use this information for retargeting or cross-site behavioral advertising.
We use Google reCAPTCHA v3 for security and abuse prevention in connection with registration. reCAPTCHA may collect or process technical, device, and behavioral information through its service in accordance with Google's Privacy Policy and Terms of Service.
Other third-party providers used for hosting, security, registration, and related functions may collect or process technical information through their services.
We do not track users across third-party websites or services, so no response to browser "Do Not Track" signals is needed.
7. Data Retention
We retain information for as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide and secure the Service, maintain business records, comply with legal obligations, resolve disputes, prevent fraud and abuse, and enforce our agreements.
Retention periods vary based on the type of information, the purposes for which it is processed, operational requirements, and applicable legal, security, accounting, and compliance requirements.
Deleted information may remain for a period in logs, backups, snapshots, disaster-recovery systems, archives, or similar systems until it is deleted, expires, or is overwritten in the ordinary course.
We may retain information for longer where required or permitted by law or reasonably necessary for legal, security, fraud-prevention, accounting, dispute-resolution, or compliance purposes.
We may retain aggregated or deidentified information where permitted by law.
8. Security
We use safeguards designed to protect information processed through the Service.
No method of transmission, storage, or security is completely secure, and Search2o does not guarantee absolute security.
Customers are responsible for protecting their credentials, encryption keys, agent servers, integrations, external systems, and user access.
9. Privacy Rights and Requests
Depending on applicable law, individuals may have rights concerning their personal information, including rights to access, correct, delete, or obtain a copy of certain information and other rights provided by law.

We may take reasonable steps to verify your identity or authority before acting on a request. Requests are subject to applicable legal exceptions, limitations, and retention requirements.
If we deny a request and applicable law provides a right to appeal, you may appeal by contacting info@search2o.com and identifying the request as a Privacy Appeal.
Where Search2o processes information on behalf of a customer, we may direct the request to the customer that controls the applicable account.
10. International Processing
Search2o, Inc. is a United States company, and the Service is operated from the United States.
Information processed through the Service may be stored or processed in the United States or in locations used by Search2o's service providers.
11. Children
The Service is not intended for individuals under 18.
We do not knowingly provide accounts to individuals under 18. If we learn that personal information was provided in violation of this restriction, we may delete it or take other appropriate action.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time.
We will post the updated Privacy Policy with a revised "Last Updated" date.
If we make material changes, we will send notice to the account contact email address.
